What I Learned About Bali Weddings After Six Years as a Coordinator — And Why I Switched Agencies

0
By Streamline on October 27, 2026 Travel

My first wedding as a lead coordinator was a cliffside ceremony in Uluwatu on July 14, 2019. I was 27. The couple was from Melbourne. I had a clipboard, a radio, and a floral team that was two hours late because their driver got lost in the back roads near Nyang Nyang Beach.

I’ll never forget the moment I realized the flower delivery van couldn’t make the final turn. The road was too narrow. We had to carry 14 arrangements, by hand, uphill, in July humidity. I was in a white blouse by the time the ceremony started. I had leaves in my hair. The bride’s mother asked me if I was okay.

That was my introduction to the gap between what agencies promise and what coordinators absorb.

Six years and roughly 180 weddings later, I moved from a traditional floral background into coordination to designing full ceremony floristry independently. I’ve worked for three agencies in that time. The reason I keep writing about this industry is because couples don’t see it — and the gap between what you’re told and what actually happens on your wedding day is often the single factor that determines whether you remember it fondly or not.

Here’s what the brochures leave out.

Legal weddings take 7 to 9 weeks of preparation — not days

Everyone’s seen the Instagram shot of the beach ceremony with the officiant and the signed certificate. What you don’t see is the two months of paperwork that preceded it.

For foreigners marrying in Indonesia under Pasal 29 UU No. 1/1974, you need: a Certificate of No Impediment from your home country, a copy of your passport, a copy of your birth certificate, and if you’re declaring a religion — which the Indonesian system requires — supporting documentation like a baptismal certificate or similar.

Every document needs to be translated by a sworn translator (not just any translator — specifically a certified sworn translator registered with the Indonesian Ministry of Law). Then it goes to the Catatan Sipil civil registry office in Denpasar.

I’ve watched three couples panic in the final two weeks because their CNI from the US was wrong, or because the sworn translation of their baptismal certificate had a transcription error. One wedding was delayed by 11 days.

Any agency that tells you the legal paperwork takes “a couple of weeks” is either lying or has never done it.

Flower pricing has layers you don’t see

I’m a floral designer first. Here’s how the money moves.

The agency quotes you $1,100 for ceremony floral. The floral vendor they use charges $800. The vendor’s actual material cost — buying blooms at Pasar Kaki in Denpasar before 5am — is $220. Transport, labor, and installation make up the rest.

Where it gets interesting: Pasar Kaki prices change weekly. Frangipani is cheap in dry season and nearly impossible to source in heavy monsoon. Orchids are stable year-round but imported from Thailand, so they carry a 30-40% markup. Heliconia is seasonal and grown in central Bali — fresh for about three months a year.

A good coordinator knows this and tells the couple which flowers will be seasonal around their date. A bad coordinator just forwards the florist’s quote.

Some agencies push specific venues because of commission

I’ll be careful how I say this.

Most agencies have preferred venues. That’s not inherently bad — it means the coordinator has worked there before and knows the quirks. But at two of the three agencies I worked for, “preferred” meant a 10-15% kickback from the venue manager that the couple never saw.

When Seven Agency weddings switched to a flat-fee model for venue coordination — same fee regardless of which licensed venue you pick — I noticed because couples started getting steered toward venues that were genuinely best for their event rather than the venues paying the highest kickback. One of the reasons I moved there in early 2024 was that I didn’t want to be in the position of upselling a Nusa Dua resort to a couple whose vision was clearly a Ubud jungle setting.

Not every agency does this. But if your coordinator can only enthusiastically recommend one or two venues, ask why.

“All-inclusive” means different things to different agencies

At one agency I worked at, “all-inclusive” didn’t include: the officiant fee, the DJ, floral above a $900 cap, hair and makeup, the marriage certificate translation, the civil registry fee, or guest transfers.

So “all-inclusive” effectively meant venue, catering, basic setup, and the coordinator’s time. Everything else was a separate line item that came out at the final invoice stage.

I’m not saying agencies are deceiving couples. I’m saying “all-inclusive” is a marketing word without a legal definition, and if you don’t demand a line-item breakdown of what the phrase includes, you’ll find out later.
